Position: EXECUTIVE ASSISTANT TO THE DIRECTOR GENERAL

Reports To: DIRECTOR GENERAL

Duration of Appointment: Fixed-term contract of five (5) years (renewable, subject to satisfactory performance)

Nationality: To be eligible for appointment, candidates must be nationals of a Member State of the Organization.

Job Purpose

To plan, organise and coordinate administrative and operational activities in the Office of Director General to ensure delivery of premier service to Member States, Cooperating Partners, and Users.  Serve as the primary point of contact for internal and external engagements on all matters pertaining to the Director General


Principal Duties

1. Develop an active and open communication system to and from the Director General’s Office, organize and prioritize critical issues and required information for the Director General to facilitate intervention and efficient decision making.

2. Compile and condense monthly and quarterly activity reports submitted to the Office of the Director General for high level decision making.

3. Assist in communicating Director General’s thought leadership through digital and social media.

4. Maintain a database of external engagements, interventions and partnerships with the Member States, potential Member States, Cooperating Partners, Users, Diplomatic Missions, and International Organizations and other relevant stakeholders.

5. Conducts relevant research, prepares background papers, talking points, speeches, correspondence, reports, and official statements for the Director General.

6. Manage communication between the executives and key stakeholders by reviewing the necessary correspondence for approval.

7. Collaborate with relevant personnel to ensure seamless implementation of the Director General’s programme of activities, meetings, as well as official high-level travel schedules. 

8. Arrange and coordinate Director General’s engagements and executive meetings, secures minutes and tracks action points.

9. Manage the Director General’s competing official and unofficial demands.


Qualification and Experience

Bachelor Degree in Business Studies/Law/International Relations/related field.   

A Master’s Degree in Business Administration/related field is an added advantage. 

Minimum 7 years’ experience providing support for executive-level management in a related organization or corporate set-up. 

A professional qualification in project management is an added advantage. 


Competencies and Skills required

Solid and demonstrated understanding of project and programme management, and performance reporting. 

Proficiency with the Microsoft Office suite and statistical analysis software. 

Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, Member States, Cooperating Partners, and other relevant stakeholders. 

Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly. 

Demonstrated leadership capabilities, including ability to organize and manage people.

Strong business acumen and capability to analyze and interpret relevant data. 

Ability to work independently with an excellent attention to detail.


Conditions Of Employment

Salary and allowances on first appointment shall be those applicable to Grade L3 Step 1 of the ARIPO salary scales of the professional category.

Base Salary:  US$41,812 per annum. 

Post Adjustment Allowance: 50.8% of base salary (This depends on the rise and fall in value of the United States dollar). 

Dependency Allowances: US$1,800 per year for a dependent child. Maximum number of children three (3).

Other benefits include: 

Payment of travel and removal expenses; 

Once-off installation grant;

Education grant of US$9,000 per year for each eligible dependent child up to a maximum of three children; 

Housing allowance;

Contributory medical aid scheme;

30 days annual leave; and

Paid home leave every two years.  

Medical examination:  The appointment is subject to a satisfactory United Nations type medical examination to be conducted by an ARIPO nominated medical practitioner.
